1. Who we are

Whole House Cleaning LLC is a residential and commercial cleaning company based in Cleveland, Ohio, serving Cleveland, Medina, Solon and the surrounding area.

This policy explains what personal information we collect when you use our website or request a quote, how we use it, and what control you have over it. It applies to our website and to the quote requests we receive through it.

2. What we collect

Information you give us

When you submit the quote form, we collect:

• Your name
• Your phone number
• Your email address
• Your ZIP code
• The service and home size you selected
• Any details you choose to write in the notes field
• The fact that you checked the consent box, and when

If you go on to book a cleaning, we will also collect your service address and any access instructions you give us, such as a door code or where a key will be left.

Information collected automatically

• The page you submitted the form from
• The website that referred you to us, if any
• Marketing tags in the link you arrived through (UTM parameters, Google and Meta click identifiers)
• Basic browser and device information

We use this to understand which advertising actually brings us customers. We do not use it to build a profile of you.

Cookies

Our website does not set advertising or tracking cookies of its own. If we add analytics or advertising tools in future, we will update this policy before doing so.

3. How we use it

• To prepare your quote and contact you about it
• To schedule, perform and follow up on your cleaning
• To send our team to the right address with the right instructions
• To keep records of work done and payments received
• To understand which marketing channels bring in requests
• To comply with our legal and tax obligations

We do not sell your personal information, and we do not rent or trade it. We do not send marketing email to people who only requested a quote.

4. Who we share it with

Your information is seen by:

• Our own staff. The people assigned to your booking get your name, address, access instructions and relevant notes — only what they need to do the job.
• Google. Quote requests submitted through our website are stored in Google Sheets and processed by Google Apps Script, within our own Google account. Google acts as our service provider and processes this data on our behalf.
• Telegram. A short summary of each request — name, phone, email, ZIP, service and notes — is sent to the owner as a private message so we can respond quickly.
• Netlify. Our website is hosted by Netlify, which processes standard server request data.
• Anyone we are legally required to share it with, such as in response to a lawful request from a government authority or court.

We never publish your access codes or key arrangements, and never share them outside the team assigned to your home.

5. Calls & text messages

By providing your phone number and submitting our form, you give prior express written consent to be contacted by Whole House Cleaning LLC by phone, autodialed calls, and SMS text message at the number you provided.

Consent is not a condition of purchase.

• What we send: your quote, appointment confirmations, arrival reminders, and follow-up about your cleaning.
• How often: it depends on your booking activity — typically only around a scheduled cleaning.
• Cost: message and data rates may apply from your carrier.
• To stop: reply STOP to any text. You will get one confirmation and nothing after that.
• For help: reply HELP, or email us at the address below.
• Carriers are not liable for delayed or undelivered messages.

You can withdraw consent at any time by replying STOP, emailing whole.house.cleaning.oh@gmail.com, or calling (845) 843-0245. We act on opt-out requests within one business day. Stopping marketing messages does not stop messages about a cleaning you have already booked.

6. Your choices and rights

Whoever you are and wherever you live, you can ask us to:

• Tell you what information we hold about you
• Send you a copy of it
• Correct anything that is wrong
• Delete it
• Stop contacting you

Email whole.house.cleaning.oh@gmail.com with the subject line “Privacy Request.” We will confirm who you are before acting, and respond within 30 days.

If you live in California, Virginia, Colorado, Connecticut, Utah, Texas or another state with a comprehensive privacy law, you have these rights by statute, plus the right not to be treated differently for using them. We do not sell or share personal information as those laws define it.

7. How we protect it

Our website is served over HTTPS, so what you type into the form is encrypted in transit. Quote requests are stored in a Google account protected by a password and available only to the owner. Access instructions and door codes are kept separately from customer records and deleted once they are no longer needed.

No method of transmission or storage is completely secure, and we cannot promise absolute security — but we do not keep more than we need, and we do not keep it longer than we need.

8. How long we keep it

• Quote requests that do not become bookings: up to 12 months, then deleted.
• Booking and payment records: 7 years, as required for tax purposes.
• Access codes and key arrangements: deleted as soon as you stop using our service, or sooner if you ask.
• Record of consent and opt-out: at least 5 years. This protects you as much as us — it is how we prove you were never contacted without permission.

9. Children

Our services are for adults. We do not knowingly collect information from anyone under 18. If you believe a child has given us personal information, contact us and we will delete it.

10. Changes to this policy

If we change how we handle personal information, we will update this page and change the “Last updated” date at the top. If the change is significant, we will say so here before it takes effect.
